Data Protection and SWIMS

The General Data Protection Regulation came into force on 25 May 2018.  The SWIMS Network user record retention policy has been updated in respect of this. 

For advice on the GDPR generally, and for how to comply in your organisation, including local procedures, please contact your organisation’s GDPR lead. 
Suggested text for a local data privacy policy in respect of SWIMS was circulated to library managers on the LIB-SOUTH-MANAGERS email list on 20th April 2018.

Subject access requests, i.e. requests for information on what information is held on SWIMS, must be responded to within one month of receipt.  To print a user record, display it in full, click print, and select the ***SCNHS Users Print Layout.  Then use browser print option to print. 
To print a list of historic and/or current loans, use the ***Historic Transactions or ***Current transactions Print Layouts.

The contract with OCLC which hosts our OLIB system includes a Personal Data Processing Agreement which determines responsibilities of the parties, as well as technical and organisational security measures implemented by OCLC.  Provided that library staff comply with SWIMS Network mandatory procedures, then we are fully compliant with the agreement.
